A GST Service Invoice Should Survive the Return Close
A field-level GST invoice checklist for Indian service businesses covering transaction facts, tax treatment, corrections, records, and return handoff.

Short answer
A GST service invoice should identify the supplier and recipient, carry a controlled serial number and date, describe the service, show value and tax, include the applicable HSN or SAC and place-of-supply facts, and preserve any special treatment or reverse-charge statement required for that transaction. The billing team should verify the transaction before issue, not repair missing facts during return filing.
The invoice was paid, but the return team cannot use it
A consulting firm raises a Rs 2 lakh invoice plus GST on the last day of the month. The customer pays. During return close, finance finds that the customer GSTIN belongs to another state, the place of supply was never checked, and the service description only says 'professional fee'. The commercial event is real, but the invoice cannot be reviewed confidently without reopening the engagement file.
Build the invoice from facts, then fields

Section 31 requires a registered supplier of taxable services to issue a tax invoice within the prescribed period, showing the service description, value, tax, and prescribed particulars. Rule 46 supplies the detailed invoice particulars. The checklist is a control layer; applicability still depends on the transaction.

Confirm the parties
Validate the supplier registration, recipient legal name, GSTIN where applicable, billing address, and customer master. Do not copy identifiers from an old email without checking.

Confirm the supply
Read the contract or order. Identify the service, performance period, value, customer location, and facts needed for place-of-supply and tax treatment.

Check the document
Review serial number, date, description, HSN or SAC, taxable value, rate, tax amounts, total, and required declarations. Apply e-invoice controls where the supplier and transaction are covered.

Hand it to the return close
Post the invoice once, retain the source record, map it to the sales register, and flag later changes for a controlled credit note, debit note, or amendment review.

- Names, addresses, and GSTINs match approved masters.
- The service and period are recognizable from the description.
- Taxable value, rate, tax split, and total recalculate correctly.
- Place-of-supply and special-treatment facts have an owner.
- The invoice is posted to the same sales register used for GSTR-1.
